User roles overview
People in a space don’t all see the same things. A club might keep the committee’s notes for staff only, or a business might keep its booking tools for members. Your role decides which apps and pages you can open.
The roles, from least to most access

| Guest | Someone given a shared code or PIN | Enters the code. Stays anonymous, no personal account. |
| Member | A person with their own account | Signs in with a username or email and a password. |
| Staff | People who help run the space | Their own account, with staff access. |
| Admin | People who look after the space and its people | Their own account, with admin access. |
| Owner | The person or organisation that runs the space | Their own account, with full access. |
Each role includes everything the roles above it can see. A member can open anything a guest or visitor can, and staff can open anything a member can.
How it works for each app
The owner decides who each app is for: everyone, guests, members, staff, admins or only the owner. When you open an app, Rhappsody checks your role:
- If the app is for your role or a lower one, it simply opens.
- If you’re not signed in and the app needs an account, you’re taken to the sign-in page.
- If you’re signed in but the app needs a higher role, you’ll see a message such as “This app requires staff access or higher.”
When an app asks you to sign in, the sign-in box shows which access it needs, for example Member access or Staff access.
How long you stay signed in
This depends on your role:
- Guests: about 30 minutes.
- Admins: about 12 hours.
- Everyone else: about a day.
While you’re actively using an app, you stay signed in automatically.
